About Sign On

What is Sign On?

Sign On is the way the Transport Agency manages the identity of people who access our internal corporate information network – and use our applications and resources. It's powered by a system called Okta.

‘Identity management’ means that the Agency has a system to ensure that people are who they say they are – and their right to access those applications and resources is verified.

Sign On will also allow people to reset their own Transport Agency network passwords, rather than having to call the Service Desk.

Why do we need Sign On?

Sign On provides a foundation for the future that will:

  • Make it easier for Transport Agency external partners to do business with the Transport Agency
  • Improve security and productivity
  • Decrease cost and effort for the Agency
  • Comply with All of Government identity and access management requirements

Who needs it?

  • Everyone working at the Transport Agency.
  • All external contractors and consultants who currently access InfoHub.

Getting started

You will receive an email from Okta containing a link to register your Sign On (Okta) account.

Click on the link to be taken to the registration page.

You’ll be asked to enter the following information:

  • A secondary (non-work) email address – this will allow you to reset your own password if it has expired or been forgotten.
  • The answer to a security question – this will help prove your identity in case of a forgotten password.

Tips for registering your account:

Secondary email address

  • The easiest option is to use your personal email address as you’re unlikely to forget the password to this.
  • If you’d prefer not to use your personal email address, consider setting up a specific email address for this sort of situation using a free service like Gmail or Yahoo.
  • If you’d prefer not to provide a secondary email address at all you can still register your account, but you won’t be able to reset your password without contacting the Transport Agency Service Desk during business hours.

Security question

  • Choose a question that you’re unlikely to forget the answer to such as your first school or pet.
  • You can create your own security question if none of the options are suitable.
  • If you’d prefer not to provide the real answer to a security question just make something up – anything is fine as long as it’s something you’ll definitely remember.

How do I log into Sign On (Okta)?

Use your full email address (Transport Agency, or company email address) –not your user name – and your Transport Agency network password.

What happens if I don’t register?

  • You will not be able to access InfoHub from outside of the Transport Agency corporate network if you haven’t registered. Visiting InfoHub will require you to register.
  • You will be unable to reset your Transport Agency/InfoHub password yourself – you will need to contact the Transport Agency Service Desk during business hours.

Can I change to a different language in Sign On?
Yes, but please make sure you only change this setting to a language you actually speak. It can be very difficult to change it back to English if you don’t understand any of the instructions!

How secure is Sign On?
Sign On is powered by Okta, which is a global identity management company. Security is their business – so they have an incredibly high security rating.

Many private companies and government departments both in New Zealand and overseas are using Okta to power the management of identities for people accessing their internal information networks. The Agency talked to Xero and Maritime New Zealand when choosing this identity management system, and in our discussions with them they were very positive about their people’s experience with it.

Troubleshooting

Why am I getting a “Sign in failed!” error message?
Check you are using your full email address - not your username - to sign in, and ensure you are using the correct password.

How do I register if I have lost my registration email?
Go to https://nzta.okta.com(external link) and log in using your Transport Agency or company email address and Transport Agency network password. You will be prompted to complete the registration process. 

How do I reset my network password?

  • If your password has expired:
    • You will be prompted to change it when you log in to Sign On.
  • If you have forgotten your password, and you provided a secondary email address when registering:
    • Click “Need help signing in?” at the bottom of the Sign On login page.
    • Select “Forgot password?”
    • Enter the email address you use to log in to Sign On, then press the “Reset via Email” button.
    • Instructions on how to reset your password will be sent to your secondary email address.
  • If you have forgotten your password and haven’t provided a secondary email address:
    • Contact the Transport Agency Service Desk during business hours on 0800 80 52 63 or service@nzta.govt.nz.
  • If your password has been breached or you want to change it as a security precaution:
    • Log in to the Sign On dashboard (https://nzta.okta.com(external link))
    • Click the Settings icon

    • Enter your current password once and your new password twice, then click “Change Password”.
  • If your account has expired (e.g. contractor past end date) or been locked:
    • Contact the Transport Agency Service Desk during business hours on 0800 80 52 63 or service@nzta.govt.nz.

Please note that resetting your password in Sign On (Okta) will reset your Transport Agency network password.

What do I do if I get locked out of my account, or my account is expired?
If you’ve been locked out of your account, or it has expired (e.g. contractor past end date), you will not be able to reset your password or unlock your account. You will need to call the Transport Agency Service Desk during business hours on 0800 805 263.

How do I add/change my secondary email address?

  1. Log in to the Sign On dashboard (https://nzta.okta.com(external link))
  2. Click the Settings buttonSettings icon
  3. Click the “Edit” button on the Personal Information header.
  4. Enter the secondary email address and click “Save”.
  5. An email will be sent to the secondary email address – click the link in that email to confirm that you want to add, or change your secondary email address.

I accidentally clicked “I don’t have a secondary email” while registering and now the field is greyed out so I can’t enter it.
Continue the registration process without providing a secondary email address – you can add this later from the Sign In/Okta dashboard by going to the settings button (see instructions above).

I accidentally entered my secondary email address incorrectly – how do I fix it?

  1. Log in to the Sign On dashboard (https://nzta.okta.com(external link))
  2. Click the Settings button Settings icon
  3. Click the “Edit” button on the Personal Information header.
  4. Clear the secondary email address field and click “Save”.
  5. Click the “Edit” button on the Personal Information header again.
  6. Enter the correct secondary email address and click “Save”.
  7. An email will be sent to the secondary email address – click the link in that email within 6 days to confirm that you want to change your secondary email address.

I registered a secondary email address and got sent a confirmation email, but when I clicked on the link in the email I got this error message:

Invalid tokenThe link in the confirmation email expires after 6 days. Clicking on an expired link will cause the message above to appear. To generate a new confirmation email, log into your Sign On account at https://nzta.okta.com/enduser/settings(external link) then add your secondary email address in the “Personal Information” section. A new email will be sent – make sure you click the link in this email within 6 days.

I can’t see the login box on the main Sign On page.
Check you are not using Compatibility View as this can cause the page to display incorrectly.

The “launch this app when I log into Okta” feature is not working.
Check your browser settings – you may need to enable pop ups.

Privacy information

Here is the information about what is being collected from you and why.

Two new pieces of information are being collected from you - your secondary email address and an answer to a security question.  This information will be combined with existing information contained in the Transport Agency Active Directory. This information is held for password resets only and will not be used for any other purpose.

NZ Transport Agency legal statement:

  1. The Transport Agency (50 Victoria St, Wellington) is collecting the user's secondary email address and answer to the selected security question;
  2. the purpose of collecting the information is to enable the Transport Agency to authenticate the user's identify, before enabling the user to reset his or her password to relevant Transport Agency applications;
  3. the information that will be submitted and held by OKTA, a cloud service (301 Brannan St, San Francisco, CA 94107, United States);
  4. the user does not have to provide the information, but if the user does not do so, the user will be required to contact the Service Desk each time he or she needs to reset his or her password; and
  5. the user will be able to update or correct the information that he or she has provided by logging into the OKTA dashboard(external link).
